Automating a messy process usually just makes the mess happen faster. A little preparation makes the difference between a workflow that saves time and one that creates new problems.

1. Map the process as it actually happens

Write down each step, who does it, and which tool is used. Include the exceptions, because those are where automations tend to break.

2. Decide where a person must stay involved

Anything customer-facing, financial, or high-stakes should have a human review step. AI-assisted drafting can speed things up, but you remain responsible for what gets sent.

3. Start with one small workflow

Pick a process that is frequent, simple, and well understood, such as routing new inquiries into your CRM. Prove it works before expanding.

4. Plan for failures

Decide how you will be notified if a step fails, and keep a manual fallback. Document the setup so someone else can understand and maintain it.
